Privacy policy

The Embodied Man Institute ("we", "us", "our") operates convergence.theembodiedmaninstitute.com. We respect your privacy and handle your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect, why we collect it, who helps us handle it, and the choices you have. If you have any question about it, contact us at contact@theembodiedmaninstitute.com.

1. What we collect

We collect identity and contact details you give us, such as your name, email address and phone number. If you create an account we also hold your login and your enrolments and progress in our programs, courses, community and events. When you buy from us we keep records of what you purchased and your payment status. We never store your full card number. Payments are processed securely by our payment processor.

We also collect usage and engagement information, such as the pages you view on convergence.theembodiedmaninstitute.com, the emails you open, and how you interact with our content, so we can improve and personalise your experience.

2. Why we use it

We collect and use your personal information only where it is reasonably necessary for what we do: to provide and run our programs, community, courses and events, to process your purchases, to send essential service messages such as receipts and account notices, to provide support, and to meet our legal obligations. Where you have consented, we also send you marketing and updates. You can withdraw that consent at any time.

3. Marketing and your choices

We only send marketing where we are permitted to under the Spam Act 2003 (Cth), usually because you have consented. Every marketing email gives you a no-cost way to unsubscribe that does not require you to log in, and we action unsubscribe requests within 5 business days. Unsubscribing stops marketing messages. We may still send you essential service messages, for example a receipt or a security notice.

4. Who helps us handle your information

To deliver our services we use a technology platform that runs our website, email, courses, community and the technical operation of our checkout on our behalf and under our instructions. The providers behind that platform may handle your personal information only to provide the service to us, not for their own purposes. Service providers also help us with hosting and account login, email delivery, secure payment processing, video streaming, and security and content delivery. We do not sell your personal information.

5. Where your data is stored

Your personal information is primarily stored and processed in Australia. Because some of our providers operate globally, your information may also be processed in, accessed from, or backed up in other countries, for example for payment processing, content delivery and security. Before any such disclosure we take reasonable steps to ensure the recipient handles your information consistently with the Australian Privacy Principles, and we remain accountable to you for how those providers handle it.

6. Cookies and tracking

We use a first-party cookie and similar technologies to recognise your device, keep you logged in, and understand how convergence.theembodiedmaninstitute.com is used so we can improve it. You can control cookies through your browser settings. If you do not consent to non-essential cookies, we limit ourselves to essential cookies and measurement that does not identify you individually.

7. How long we keep it

We keep your personal information while you have an account or relationship with us. After that, we keep it only for as long as we reasonably need it or are required to keep it by law, for example transaction and tax records, and then destroy or de-identify it. Some information may persist in routine backups that are overwritten on a regular cycle.

8. Security

We take reasonable steps to protect your personal information, including encryption in transit and at rest, access controls, and logging. No system is perfectly secure, but we take this seriously. If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner as soon as practicable in accordance with the Notifiable Data Breaches scheme.

9. Your rights

You can ask us to access the personal information we hold about you, to correct it if it is wrong, to delete it where we are not required by law or a legitimate business need to keep it, or to opt out of marketing at any time. To make a request, contact us at contact@theembodiedmaninstitute.com. We respond within a reasonable time, usually within 30 days. If you are not satisfied with how we handle a request, please raise it with us first. If we cannot resolve it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

10. Children

Our services are not directed to children under 16 and we do not knowingly collect their personal information.

11. Changes

We may update this policy from time to time. If we make material changes, we will take reasonable steps to notify you, for example by email or a notice on convergence.theembodiedmaninstitute.com.

Advertising, tracking and the Meta Pixel

This site (the Masculine Convergence campaign by The Embodied Man Institute) uses tracking and analytics tools to measure and improve our advertising. This section explains what is collected and who it is shared with, in line with the Australian Privacy Act 1988.

The Meta Pixel

We use the Meta (Facebook/Instagram) Pixel. When you visit this site or take an action (such as starting checkout or buying a ticket), the Pixel sends event data to Meta Platforms Ireland Ltd, including the pages and actions, plus device and browser information and identifiers (such as cookies).

Advanced Matching (your contact details)

When you enter details at checkout (such as your name and email), the Pixel may send a hashed (irreversibly encoded) version of those details to Meta as part of “Advanced Matching”. This helps Meta attribute and optimise our ads to the right audiences. We do not send Meta your raw email or name through the Pixel; it is hashed in your browser before it is shared.

Purpose & your choices

We use this data to measure ad performance, optimise delivery, and build audiences for this campaign. You can limit or opt out by adjusting your browser cookie settings, using your device’s ad-tracking controls, and managing your Meta ad preferences in your Facebook/Instagram account settings. Under the Privacy Act you may also request access to, or correction of, the personal information we hold, or make a privacy complaint.
